Client Profile.
The client is a data company that provides insights on household products. Their actionable product information delivered through their SaaS application helps property managers, insurers, and real estate owners make informed decisions about mechanical products and household appliances. They are headquartered in Louisville, Kentucky.
Business Need.
The client offered near real-time valuation of household appliances and mechanical products to help their clients take informed repair, sale, maintenance etc. decisions based on product valuation.
Their API-based application allowed customers to upload images of their products and appliances with detailed specifications. The client would then verify and validate the specifications against a pre-defined checklist of product data such as model number, serial number, manufacturing date, certificate year, barcode, etc.
To increase operational efficiency in terms of speed, quality and cost, the client was looking to outsource their product data validation operations. Outsourcing would also help the client address fluctuating volumes without having to scale up and down resources. They hence partnered with HitechDigital on the project.
Challenges.
The project team at HitechDigital assessed the scope of work and highlighted the following challenges with they would need to address:
The volumes to be processed were huge:15+ fields for 280+ products within 24 hours.
Images with illegible product specifications needed research on client specified appliances websites. This was time and resource consuming.
Specifications of dated household appliances are non-traceable. This also required Internet research, again adding to project time.
Different brands and models follow different orders of specs listing. This would reduce the speed of data entry.
Solution.
Designed a seamless three-step workflow for entry, verification, and validation of information related to household appliances. This involved:
Manual entry and verification of 15+ data fields from uploaded images of appliance specifications.
In case of illegible information in uploaded images, researching the info from client specified sites or Internet.

Approach.
A 3-member team of data professionals, assigned to the project, was trained in industry jargon used in technical specifications of household appliances.
The project team executed the following steps as designed in the workflow:
Validated product specifications data in the image provided by client, against specifications listed in the client interface.
Product specifications that were not available in the images uploaded by customers, were searched for on client specified websites, and entered manually.
Product specifications not available in customer images, and even not on client specified websites; were searched for on the internet and entered manually.
Daily reports in the form of spreadsheets and dashboards were shared with client for various project metrics including productivity and turnaround time.
